Sympathy Flowers Etiquette: What to Send & When
When someone you care about loses a loved one, flowers say what words often cannot. But sympathy flowers come with real questions: what do you send, where do you send it, and when? As Winnipeg florists, we help families and friends navigate this every week. Here is the etiquette guide we wish everyone had.
When Should You Send Sympathy Flowers?
There is no single right moment — there are three good ones:
- Right away (first few days). Flowers sent to the family home say "we are thinking of you" during the hardest hours. A hand-tied bouquet or a small vase arrangement is appropriate.
- For the service. Arrangements for a funeral or memorial are usually delivered directly to the funeral home or church before visitation begins. Coordinate timing with the funeral home — in Winnipeg we deliver to funeral homes across the city and handle timing with them directly.
- Weeks later. Grief does not end after the service. A bouquet sent two or three weeks after — when the calls have quieted down — is often the most remembered gesture of all.
What to Send Where
To the family home
Choose comfort over formality: soft hand-tied bouquets, gentle whites and pastels, or a vase arrangement the family will not need to fuss over. Roses, hydrangeas, and calming mixed arrangements are always appropriate.
To the funeral home or church
This is where traditional sympathy pieces belong: standing sprays, wreaths, and larger arrangements designed to be displayed beside the casket or at the entrance. These are usually sent by close family, relatives, or groups of colleagues together.
To the office of the bereaved
If a colleague has lost someone, a modest arrangement to the workplace — once they have returned — is a thoughtful gesture. Keep it simple and calming; avoid anything too celebratory in colour.
What Colours and Flowers Are Appropriate?
White remains the classic language of sympathy — purity, peace, and respect. Soft creams, gentle pinks, lavenders, and greens are equally appropriate. Bright, festive colours are usually reserved for celebrations of life, where the family has asked for them.
White roses express reverence and remembrance. Hydrangeas bring softness and heartfelt emotion. A florist-designed sympathy arrangement in calm tones is never wrong — if you are unsure, tell us who the flowers are for and our florists will compose something appropriate.
What to Write on the Card
Short and sincere beats long and elaborate. A few examples:
- "With deepest sympathy. You are in our thoughts."
- "Thinking of you and your family during this difficult time."
- "In loving memory of a wonderful person. We will miss them dearly."
- "With love and support, today and always."
Sign with your full name (and company, if from colleagues) so the family knows exactly who was thinking of them.
Cultural and Religious Considerations
Traditions differ. Some faiths welcome flowers at the service; others prefer donations or specific customs. When in doubt, check the obituary — it usually states the family's wishes ("in lieu of flowers…"). If flowers are welcome, the funeral home can confirm delivery details; we coordinate with Winnipeg funeral homes regularly and can advise when you order.
